How to add Consignment / Appro / Memo Stock

Consignment, Memo, and Appro stock brought into the business are handled the same way in Swim. For the purposes of this article, the term consignment refers to all three types.

Consignment stock is recognised in Swim by having a stock number that begins with 'A'. This type of stock is not considered part of your owned stock holding and will not appear in standard stock reports. However, consignment specific reports are available that will show your current consignment holdings.

With a consignment item, you can:

• Sell the item

• Return the item to the supplier

• Convert the item into a standard stock item

Entering Consignment Stock

You can enter consignment stock from an invoice by following these steps:

1. On the Stock menu, select Enter New Stock From Invoice.

2. At the bottom of the screen, choose Enter New Invoice.

3. In the Invoice Type field, select Consignment from the dropdown list.

4. Continue entering the invoice and stock details as described in the Adding Stock From Invoice article.

5. On the Enter Stock screen, if you select View by Stock Item, each created item will display a stock number starting with 'A', confirming it has been entered as consignment.

Finding, Editing and Returning Consignment Stock

You can search for consignment stock in the same way as regular stock items. Refer to the article: How to Find Stock

To edit or return consignment stock:

1. In the Stock Menu, click on Consignment Promotion Search.

2. Use the available fields to search for the stock item(s).

   • Example 1: To view all stock on a specific invoice, enter the invoice number and click Search.

   • Example 2: To show all consignment stock from one supplier, type 'A' in the Stock Number field, select the supplier from the dropdown list, and click Search.

3. To return stock to the supplier, tick the Return to Supplier checkbox to the left of the item.

4. To convert a consignment item into a stock item, tick the Make Into Stock Item checkbox. This will change the stock number prefix from 'A' to 'I' (for invoiced). This action can also be completed on a sale should you forget to convert prior to selling the item.

5. Click Save This Page to apply the changes. The selected items will be updated accordingly.
