Getting Started with Tasks

To begin using tasks in Swim:

  1. Find and open the relevant sale or job
  2. Click on the item to open the Workorder popup
  3. Click on the Tasks tab

Adding Tasks

  1. On the Tasks tab, fill in the fields for the task
  2. Click Save
  3. Repeat the process to add additional tasks

After a task is saved, the Book option will appear.

  • Click Book to schedule the task
  • Fill in the required fields and save the event
  • The booking time and date will now display next to the task
  • You can click this to view or edit the booking

Starting and Stopping a Task

  • Click Start on a task when work begins
  • The Stop button will then appear
  • You can close the sale and return later to click Stop once the task is completed
  • The actual time taken will be recorded automatically

Managing Tasks

  • Click the Edit icon to modify a task
  • Click the Remove icon to delete a task
Note:
  • To add a new task name to the drop-down list, go to Utilities > Lists > Workorder Job Description
  • Event colours for task bookings are linked to the Workorder Type and can be set under Utilities > Lists > Workorder Type
  • All task bookings appear in the Calendar, which can be accessed by clicking on the time in the top-right of the Swim main menu. For details, see:

  • On the day of a booking, the Swim homepage will display all events under the Events Today tab
  • Multiple tasks can be started at the same time, even while others are already running
  • The Cost shown on the Tasks tab is calculated by multiplying the time taken by the hourly rate. This cost is a guide only and does not impact the actual item cost on the Costs tab
  • Use the task cost to monitor workshop profitability or as a reference when entering a labour component on the Costs tab
