Mapping Swim's GL accounts to Xero

Before continuing with the setup, it's important to understand how Swim communicates to Xero and what data is pushed to Xero from Swim.

Built into Swim is a general ledger system which records all transactions that take place in Swim. When a transaction takes place Swim assigns it to an appropriate account which records the transaction’s value.

We can see these accounts by navigating to Expenses > GL accounts management. If you have never made changes to this section of Swim, you should see that there are 126 GL accounts. Each account is clearly named and given a nominated Type.

Accessing GL accounts

It is these 126 accounts that we need to map to Xero.
Note: Some of these GL accounts can be removed. However, we recommend that only a person with a well-informed understanding of your Swim accounts attempt to do this as removing an account with historical transactions may cause problems to Swim’s accounting system.

1. Navigate to the Xero integration page via the top right menu > integrations > Xero.
2. Next, to the listed unmapped accounts information, click the ‘review’ button.
3. A popup will reveal showing the list of currently unmapped GL accounts.



 

4. Click on the map account button to launch a popup.

5. In the popup, ensure that the ‘Create new mapping in Xero’ checkbox is checked.
6. Click the tick button to confirm the mapping.
7. If mapping the account has been successful, Swim will show that the name of the Xero account.

NOTE: There are some common mistakes first time users make. There may be a naming conflict if the account number (the four digits next to the account name) or account name have already been used in Xero. If this is the case, you have the option of editing your GL account name in the GL Account menu or mapping the account to an existing Xero account.

8. Once all of the accounts have been mapped to Xero we can continue to the next section.

Pro-tip: You can filter by account type, name, number, balance and whether it has been mapped using the filter menu on the right of the GL accounts list.
