Pushing Swim transactions to Xero

Swim only pushes transactions to Xero that have been Posted. In other words, Xero will only receive transactions after a Post End of Day has been run.

1. In Swim, navigate to the Sales dropdown, click Post end of day
2. If there are some transactions present click the Post button
3. Navigate to the Xero Integrations page
4. Click on the Export Accounts button. If everything was successful, you should be alerted that the sync was successful.

Synchronisations with Xero happen in real time, so it is possible to see the newly pushed transactions in Xero. This is done through the Adviser tab.

If you can't see an Adviser tab (see screenshot below), you'll need to give yourself, or the appropriate user, an Adviser role. To do this follow these steps:

a) In Xero, hover on the settings tab and click General Settings
b) Click on the Users link under the Organisation heading
c) Select the user you would like to make and Adviser, this may be yourself or another qualified individual
d) Select the 'Adviser' setting to set the users' level of access and then click save at the bottom of the page.

The adviser tab should now be visible for the selected user.

5. In your Xero account, click on the Adviser tab, then click on the History and Notes button. Here you should be able to see a history of all of the transactions sent from your Swim domain. From here you can click on the ‘manual journal’ link to be taken directly to the manual journal record.

Note: You can also view all of the manual journal entries in Xero by clicking on Accounting > Reports > Journal Reports.

Pro-tip: Within a manual journal Xero provides a link back to the transaction in Swim. Simply click on the ‘Go to [your organisation name]’ to open a new Swim window showing the related Swim transaction.
