How to merge customers

When there are lots of double-ups of customers in the system, or you just want to remove some un-used customers, this data can be "cleaned up" by merging customers in Swim.

To merge customers in Swim just follow the steps below:

  1. Go to Customer Menu.
  2. Click on Merge Customers.
  3. Search for and select the customers that need to be merged and click Add to Merge List.
    Note: To select a customer click on the name so it is highlighted in yellow. You can click on as many names as you like. You can also click select all to highlight all names. Be sure to click add to merge list before moving to the next search results page.
  4. To view clients added to the list, click on View Merge List.
  5. To add more customers to the merge list, click Add More Customers.
  6. Once all the desired customers have been selected, click View Merge List. Select the customer that needs to remain in the system (all other customers on the merge list will be merged into this one) and click Merge Above List into Selected Customer.

Important Note: The client you select to keep in the system have their details kept and all the other details from all the other clients will not be kept. The details are not appended, they are removed from the system. So please ensure the client you choose to keep has all the details that you want kept in the system. If they do not, click on edit/view and update their details before merging. Also note that all sales, customer credit and loyalty points will be merged and will show with the client that you choose to keep.

Important Note: There is no way to reverse a merging of customers. Once you do complete a merge, it cannot be undone. You can however print a report to show the details of your last merge. This report can be viewed by following the steps below:

  1. Go to the Customer Menu.
  2. Click on Merge Customers and clicking on Search.
  3. Next click on Previous Merged Report. You can then use this report to re-add the customers onto the system that were mistakenly merged.
  4. If there are any sales that have been merged into the wrong customer, use the change customer name on sale feature under the sales menu to select the sale and then select the correct customer whose name should be on the sale. Do this for all sales that have the incorrect customer name.
