How to Automatically Receive Items into Stock from a Supplier Order
For all orders in Swim, you can select to automatically add the item into stock, from the order page. This will save you much time, as you do not need to enter the stock through the enter stock from invoice section.
You can receive all items on an order, or if only part of the order has arrived, you can record just the items that have arrived. The process for both instances is as follows:
1) Find the supplier order and select to view order
2) Ensure the order status is sent. If it is not, click on the picture of the truck with the right arrow
3) On the left hand side of the page, click into tax invoice number and enter the invoice number. Then click on save order
4) On the right hand side of the screen, for each item received, click on the picture of the box.
5) Enter in the quantity received, click 'add to stock' if you want the item to automatically add to stock and then click on the tick
6) Perform step five for each item received.
7) Once an item has been received, you can click on the icon to view received. If you have added the item to stock, the stock number will show. You can click on the view stock item icon to view and edit the stock item.
When receiving Quantity stock for the first time (so the Quantity stock has no previously been entered into the system) you must follow these steps:
1) When placing your supplier order, order in a Qty of items (under the same supplier code) as you would if they were being received as Qty stock, using the same supplier code for all Quantities of the item.
2) When it comes time to receive the items, if it is a new Qty item/Supplier code that has not been entered before, only receive ONE of the item to begin with.
3) When that one item is received, go into that item's details via Stock Search and edit its details. Then click 'Form Type' and change the Form type to 'Qty Stock' then click Save. This supplier code and item has now been converted to a Qty stock item.
4) You can go back into the Supplier Order and receive the rest of the Qty of the item, provided you have converted the first item to a Qty Stock form type. All future quantities for that supplier code will go into the the same Qty Stock Code.
Notes:
- If the 'add to stock' tick box is not allowing you to select it, it means there is no tax invoice number entered. Enter the invoice number and save and then try again
- If you do not want an item to be added to stock, just ensure the 'add to stock' option is not ticked. You can then mark the item as being received, without adding it to stock
- If you have clicked on the wrong item, select the 'X' to cancel
- If you start receiving stock, you can then not edit the supplier order items in any way, other than to receive more items.
- If an item is entered into stock and it has not been in before, and the item is a unique stock item (i.e a quantity of 1), then the form type will default to general. To change the form type, follow step 7 above to edit the stock item, and when in the stock details screen, on the right hand side select change form type, and then change the form type to what you want it to be.
