Exporting with Swim

The format of the accounting export file is created in accordance with the many available accounting software programs that use the file for general journal entries. The export file is a comma separated value (*.csv) file with the following structure;

(NOTE – only values listed below are exported by Swim) The following is a detailed description of the exported values and headings.

Journal Number
(255 characters, alphanumeric) The journal entry number created from Swim. This will start at 1 and increment as sales are made.

Date
(10 characters, alphanumeric. Follows date convention of your system. Allows any non-numeric as
a separator between months, days and years.) This will use the date of the journal entry created from Swim, such as the date of the sale creation or the date of a payment.

Memo
(S for Sale (Supply) or P for Purchase (Acquisition). When importing, if the field is blank and the
transaction doesn't have a tax amount, it will be imported and reported on the GST Exceptions
report) This field will be recorded as S, as sales come under Supply in the BAS calculations.

Inclusive
(1 character alphanumeric indicates the amount is tax-inclusive.) If the sale is GST Inclusive the value of this field will be 1. If the sale is GST Exclusive the value of this field will be 0.

Account Number
(4 characters, numeric. Must be a valid, pre-existing Accounting account number) This will use the specified account number to be entered into the Export Sales page.

Debit Ex-Tax Amount
(15 characters (including 2 decimal places). The Debit value (if applicable) of the amount excluding GST.

Debit Inc-Tax Amount
(15 characters (including 2 decimal places). The Debit value (if applicable) of the amount including GST

Credit Ex-Tax Amount
(15 characters (including 2 decimal places). The Credit value (if applicable) of the amount excluding GST

Credit Inc-Tax Amount
(15 characters (including 2 decimal places). The credit value (if applicable) of the amount including GST

Tax Code
(3 characters, alphanumeric. If the tax code is not a pre-existing Accounting tax code, the
transaction will be imported on a tax-exclusive basis) Depending on the journal entry line, this will be ether 'GST' (if inclusive of GST), 'N-T' (if non reportable) or 'FRE' (if GST Free).

GST Amount
(15 characters (including 2 decimal places). Records the GST amount of the journal entry line.
