How to perform a sale in Swim

Overview: To facilitate seamless sales transactions in Swim, users have two options: 'Quick Sale' and 'New Sale.' This article provides step-by-step instructions for both methods, highlighting the importance of building a comprehensive customer database through 'New Sale.' Additionally, it covers essential steps for recording sale details and finalising transactions.

Quick Sale: Creating a quick sale is ideal for transactions without capturing customer details. This can be done through the sales menu or the main menu.

Steps:

  1. Click on 'Quick Sale'
  2. Enter your user password and press enter.
  3. Input items and payments (refer to Record Sale Details below).

Note:

  • If a quick sale is made, the sale's name will be 'Cash Sale.'
  • You can change the sale name later by going to 'Sales Menu' > 'Transfer Customer Name on Sale.'

New Sale - Selecting a Customer: This option allows you to create a sale with customer details, essential for various transaction types.

Steps:

  1. Click 'New Sale'
  2. Enter your password and press enter.
  3. Search for the customer by typing their first and/or last name.
    • If found, click on the customer name to highlight.
    • If not found, add a new customer (see below).

Adding a Customer:

  1. Fill in remaining fields (e.g., street, phone).

  2. Click 'Add New Customer' or 'Add & Edit New Customer' for additional information.

    • Save after adding any extra details.
  3. Click on the type of sale you want to make (e.g., Layby, Insurance Account, Account Sale).

Recording Sale Details: The process of recording items sold and payments made is consistent across all sale types.

Steps:

  1. Add items to the sale.
    • For stock items, type or scan the stock number.
    • For non-stock items, type the description.
    • Enter optional job description and price, then click 'Add Item.'
  2. Edit or remove items as needed.
  3. Optionally, enter a discount for the entire sale.
  4. Enter payment details.
    • Type in the amount and select the payment type.
    • Repeat for multiple payments.

Finalize Sale:

  1. Print a receipt or job packet/repair slip.
    • Click 'Print Sale and Exit' to print and return to the main menu.
    • Click 'Exit Sale' to finish the sale and return to the main menu.
    • Click 'Cancel Sale and Exit' to cancel the sale and return to the main menu (no record).
