How to create a Valuation / Appraisal
In Swim, a valuation and an appraisal are essentially the same. To create a valuation, you can either navigate to the specific stock item through the 'Stock Menu' > 'Find Stock', search for the item, view its details, and then click 'Valuation' on the right-hand side of the screen.
Alternatively, you can create a valuation for an item that is part of a sale. Simply open the sale and select 'Valuation' from the bottom right-hand corner.
The following steps outline the valuation process from the sales screen. If you're creating a valuation from the Stock Details screen, you can skip the first step:
- After clicking 'Valuation', if more than one item is listed on the sale, choose which item to create the valuation for by clicking 'Create Valuation' next to the item number.
- Enter the valuation details, including the creation date and the amount. You can manually type the text that will appear on the valuation, or use 'Auto Complete Text' to fill it in automatically. 'Valuation Comments' are for internal use only and will not appear on the printed document.
- To automatically fill in common details about the item, use Swim’s auto-complete feature. Click 'Auto Complete Valuation Text', select the relevant features of the item, and then click 'Auto Complete Text'. Manually check and update the information as needed, then click 'Save' and 'Back to Valuation Details'.
- Finally, preview and print the valuation. Click 'Preview Valuation' to ensure the document looks correct, and then print it by clicking the printer icon in the top left-hand corner of the window. You can also directly click 'Print Valuation'.
Before starting your valuations or appraisals, make sure to set up the wording and details of the form under 'Utilities' > 'Printing' > 'Manage Printable Documents' > 'Valuation'.
Note: For non-stock items, you can add a picture to the valuation by clicking on the non-stock item in the sale to open the work order popup screen. Click 'Pictures' to add the image. Please note that PNG images are not supported on valuations at this time.
