How to create a Valuation / Appraisal


A valuation and appraisal is the same thing in Swim. To create a Valuation in Swim, you can either go to the stock item that you wish to create the valuation for through 'Stock Menu'/'Find Stock', then searching for the item, viewing its details and clicking 'Valuation' on the right hand side of the screen.

 

Alternatively, you can create a valuation for an item that is on a sale. Open the sale and select valuation from the bottom right hand corner.

The following steps are taken when performing a Valuation from the sales screen, with the only difference being that if a Valuation is created from the Stock Details screen, step 1 is skipped:

  1. After clicking on 'Valuation', if there is more than one item on the sale, select which item the valuation will be created for by clicking 'Create Valuation' next to the item number.
  2. Enter details about the valuation, including the date the valuation was created, and the amount of the valuation. The text that will appear on the valuation can be manually typed at this stage, or it can be automatically completed using 'Auto Complete Text'. 'Valuation Comments' will not show on the printed document, and are primarily used for any other comments that would be useful to the jeweller creating the valuation.
  3. To fill in any common details about the valuation without manually typing them, Swim has an auto complete feature. Click 'Auto Complete Valuation Text' and select the various definable features of the item being valuated. Once the necessary details have been selected and edited, click 'Auto Complete Text', manually check and updated as needed and then click 'Save', and 'Back to Valuation Details'.
  4. The last step is to preview and print the valuation. Click on 'Preview Valuation' to first ensure that the valuation's appearance is satisfactory, then print the document by clicking the printer icon in the top left of the window. Alternatively, click 'Print Valuation' to print the valuation.

Before starting your valuation/appraisals, you will need to go to 'Utilities' > 'Printing'>'Manage Printable Documents'>'Valuation' and set up the wording and details of the form.

 

Note: For non stock items, you can add a picture to show on valuation by clicking on the non stock item on the sale to bring up the work order popup screen. Click on picture and add the picture.
