Stock Locations


The location of a stock item refers to where the stock item is located within the store i.e in a safe, at the setter maker, on hold, sold, in stock. By changing the location field, you can change whether an item appears as part of the stock holding.

The following is a list of locations and their meanings:

Item is in stock if it has the following location:

  • In stock: All stock defaults to 'in stock' when it is entered.
  • Deposit: The stock item is recorded on a standard sale that has not been fully paid. The stock will appear in your stock holding until it is fully paid.
  • You can add your own locations to the location drop down list that are considered to be in stock. The location list is in utilities, listts.

Item is not in stock and will not show on stock holding reports if it has the following location:

  • Sold.
  • Returned to supplier.
  • Component: item is a component in another stock item.
  • Inactive: item is no longer in stock and will not appear in your stock holding. Use 'inactive' for items that are missing or disassembled.
  • Stolen.
  • You can add your own locations to the location drop down list that are considered to be 'not in stock'.

To add or edit your own locations to the drop down list just follow the steps below:

  1. Click on 'Utilities'.
  2. Click on 'Lists'.
  3. Click on 'Location' (under the stock area).
  4. In the 'New Value' area, type in the new location.
  5. If the location is considered to be in stock, click on the check box (so check box is ticked).
  6. Click 'Add'.
  7. Follow steps above to add more locations.
  8. To edit a location value, just click 'Edit' and save any changes you make.

To change the location for a stock item just follow the steps below:

  1. Find the stock item you wish to change the location of.
  2. Click on 'edit stock item details'.
  3. Click on the arrow at the right of the location field.
  4. Click on the location that you want from the list.
  5. Click 'Save Stock Details'.

Note: You can use the location field to track stock within your store. For example, you can create a location for each counter. Then when you enter stock, update the stock item's location to be where you placed the item within the store. This makes it easy for you to find stock later on. You can also perform stocktakes by location and find out which stock items are missing or in the wrong location. For RFID, it is recommended you use the location field, as you can then perform stock counts for individual counters in a matter of minutes
