Accounting Export

The accounting export function is under the Expenses Menu. The function exports out as a .csv file all the sales and expense transactions as journal entries. The .csv file can then be used to import into accounting programs such as Quickbooks and MYOB.

Setup

The first step is to map the accounts. To do this go to Expenses Menu > Export Transactions.

  • If using MYOB enter in the account number from MYOB that corresponds to the Swim account.
  • If using Quickbooks, enter in the account name from Quickbooks, that corresponds to the Swim account.
  • If using a different accounting program, find out whether the accounting program requires the account number or name for an import and then enter that into the field.

Importing into MYOB

In Swim:

  1. Go to the Expenses Menu.
  2. Click on Export Transactions and select export accounts.
  3. Choose the date range to export all accounts since the last export and then choose to save the file.

In MYOB:

  1. Click on File.
  2. Choose Import.
  3. Choose General Journal Entries.
  4. Select the file exported from Swim.
    Note: You may need to change the filetype on the browse window to all file types.
  5. Choose comma separated file.
  6. Choose data file.
  7. On the window allowing you to match the fields from the import file to MYOB, click on Match All � this will automatically match the fields correctly.
  8. Click on Import.

Importing into Quickbooks

In Swim:

  1. Go to the Expenses Menu.
  2. Click on Export Transactions and select export accounts.
  3. Choose the date range to export all accounts since the last export and then choose to save the file.

On your PC:

  1. Before beginning with this step you will need to download the Quickbooks Import Utility by clicking here. Click the 'Download the IIF import kit...' option and follow the prompts to download and install.
  2. Open the quickbooks import utility.
  3. Follow the prompts to select the file saved from Swim.
  4. Select the quickbooks program you want to import into.
  5. Click to import.

Importing into another Accounting Program

In Swim:

  1. Go to the Expenses Menu.
  2. Click on Export Transactions and select export accounts.
  3. Choose the date range to export all accounts since the last export and then choose to save the file.

In the Accounting Program:

  1. Click the option to import journal entrys by file.
  2. Select the Swim file and to import by CSV.
